The Importance of Accurate Meeting Minutes

Got a meeting? Here is why MEETING MINUTES should be kept.

Accurate meeting minutes are an essential part of city, town, engineering, corporate, government and any other meeting.

Why? To create an official record of what transpires.  Minutes are an invaluable source when questions arise regarding project status, responsibility, and implementation. Minutes are recorded and summarized to create an official record by a qualified individual.

The official record includes:

  • Meeting agenda
  • Items discussed and outcome
  • List of attendees
  • Copies of handouts
  • Discussion from which decisions are made
  • Action items to be taken

Minutes of open meetings, regardless of form, are public and must be made available in a timely fashion. Private meetings have the similar procedures to follow.

Why records and summarizes meeting minutes. We receive annual training on the Open Meeting Law conducted by the Office of the Attorney General of the State of Massachusetts to ensure qualification to summarize meetings.
